Music Lesson Package Tracker: Moved Lessons, Holidays, and Makeups
Reconcile a ten-lesson package with a worked history of attended lessons, rescheduling, cancellations, holiday breaks, and provider-approved makeups.
Keep a dated history linking each original music appointment to any move, cancellation, or makeup. Count package use according to the teacher's terms, not just the number of calendar events. A replacement date is not a second purchase, and missing a lesson does not always preserve its credit.
- Record the original and replacement date together.
- Confirm holiday pauses and package validity separately.
- Ask the teacher to reconcile uncertain debits before renewal.
The following ten-appointment history belongs to an invented ten-lesson package costing USD 300. It is an editorial ledger, not app data. The teacher's fictitious policy allows advance rescheduling, preserves credit for teacher cancellations and holidays, and charges a late family cancellation.
Write down the policy before counting exceptions
Record the purchase date, sessions included, last usable date, cancellation notice requirement, and who can approve a makeup. Keep the actual provider message or terms reference. Do not substitute another studio's rules or assume that a school break automatically pauses private lessons.
In this example, all dates fall within the agreed package period. A teacher cancellation preserves an existing session; it does not add a bonus session or a cash refund. A move retains the original reference so the eventual lesson can be counted once.
Example: ten appointments against ten purchased lessons
W means a week within this fictitious local lesson period. The opening balance is ten. The table counts provider-confirmed use, including one charged absence, rather than pretending every debit represents attendance.
- Six attended lessons plus one charged absence consume seven sessions.
- Ten purchased minus seven consumed leaves three remaining.
- USD 30 per purchased session is a planning ratio, not a refund entitlement.
| Appointment | What happened | Sessions consumed | Remaining |
|---|---|---|---|
| 1: W1 Tuesday | Attended | 1 | 9 |
| 2: W2 Tuesday | Attended | 1 | 8 |
| 3: W3 Tuesday | Moved in advance to Friday | 0 | 8 |
| 4: W3 Friday | Attended replacement for appointment 3 | 1 | 7 |
| 5: W4 Tuesday | Teacher canceled; existing credit retained | 0 | 7 |
| 6: W5 Monday | Attended makeup for appointment 5 | 1 | 6 |
| 7: W5 Tuesday | Agreed holiday pause | 0 | 6 |
| 8: W6 Tuesday | Attended | 1 | 5 |
| 9: W7 Tuesday | Missed; late cancellation charged under example policy | 1 | 4 |
| 10: W8 Tuesday | Attended | 1 | 3 |
Reconcile the exception before purchasing again
Ask the teacher to confirm the three-session balance and whether those sessions can be scheduled before validity ends. A proposed makeup remains proposed until accepted. Keep the original cancellation and the later makeup connected so neither is silently lost.
Coleo's taken entries consume package sessions; skipped entries do not. For appointment 9, a skipped entry alone would leave the app one session higher than this provider ledger. Keep a dated note explaining the charged absence and use the confirmed provider balance for renewal decisions. Do not falsely mark the child as having attended.
Inside the app
Coleo can organize a child's music activity, schedule, package count, and dated class notes. It is a parent's record, not the teacher's attendance collection or billing system. Package expiry, credits, and provider-policy exceptions require explicit notes or a separate reconciliation rather than assumed automation.

The useful music history explains both the remaining lessons and the exceptions. Resolve moved dates and charged absences before treating the next package purchase as necessary.
FAQ
Common questions
Not under the fictitious policy used here: the original appointment is marked moved and the replacement consumes one session when attended. Your provider's terms control your actual balance.
Ask whether lessons pause and whether package validity changes. A holiday in the school calendar does not automatically extend a private teacher's package.
No. Its verified class log distinguishes taken and skipped entries, with skipped entries not consuming the package. A charged absence or special credit needs a separate provider reconciliation.
